ConceptDraw PROJECT gains ability to exchange data with MS Project

MIndGenius Version 3.6 now with File convertor and Gantt improvements

On Monday June 28th, MindGenius will release Version 3.6 which will add some new features to the Gantt View as well as the ability to open MindManager (Version 7 and above) files and OPML formatted files into MindGenius. So if you are a MindGenius 3 users I would suggest that you go over to the MindGenius website and download the free upgrade.

We are pleased to announce we are continuing the major development program we started with the release of Version 3 last year. Version 3.6, one of our regular maintenance releases, will be available from Monday 28th June and is free to all MindGenius Version 3 customers.

As well as routine maintenance work, MindGenius Version 3.6 includes functional updates to the Gantt View and the addition of a file convertor which allows users to import data from MindManager and OPML formats.

The Gantt view has been extremely well
received since its release in March. User feedback on the Gantt View regarding the timeline being fixed units has been addressed with the addition of the ability to set the timeline scale to an appropriate unit of time such as Quarters, Months, Weeks, Days and Hours, as well as a zoom facility to scale the Gantt view to match your overall project duration.

In response to the number of organisations participating in a wholesale deployment of MindGenius to all desktops, we have developed the ability to be able to import maps from Mindjet’s MindManager. Any legacy maps held in the MindManager format can be seamlessly brought across into MindGenius and enable the entire organisation to move forward with MindGenius as the single map format, thus making the sharing of maps considerably easier.


OPML (Outline Processor Markup Language) is an XML format for defining hierarchical data and is suitable for many different types of data lists and is used mainly to exchange data lists on the web. It is also used as a file format for certain iPhone/iPad applications such as MindNode & iThoughts.

Simply select File \ Open to import any of these file types into MindGenius.

MindGenius 3.5 -Gantt View

Last week I downloaded MindGenius 3.5 which added support for Gantt Charts right within the application. I have had the chance to develop some Gantt Charts using MindGenius and wanted to share my ideas about this new feature with you. Overall, you will find the implementation of Gantt Charts in MindGenius 3.5 to be easy and straight forward to use. Most of us who have been following the mind mapping arena have seen that almost all of the major applications have moved to including Gantt Charts as part of their solution. Mind mapping applications are a great tool for brainstorming and sharing information about new projects that are coming on-board. The visualization of the project makes it easy for everyone involved to see the project from another perspective by literally putting everyone on the same page. Likewise, mind mapping applications like MindGenius 3.5 makes it easy for the team, when you are ready to develop the Work Breakdown Structure.

In MindGenius you would build your project in the mind mapping view and then click on the Tasks Tab on the Ribbon to access the features associated with the Gantt Chart. You will find it easy to assign Start, End, and Due Dates for each task in your mind map by selecting them from the Calendar. You can also record what percentage of the task is complete, the priority for the task as well as the status for each of the tasks. You can also record the duration of the work completed and estimates for the how long the task will take to complete. If you intend to use your mind map to track your costs you can include a Cost and Quantity for each item in your mind map. If you decide to include the Cost and Quantity in your mind map you can then export and generate reports in Excel. Once you have entered Start and End dates and the other information you can view your Gantt Chart by clicking on the Gantt View Button from the Tasks Ribbon.

MindGenius displays a very traditional Gantt Chart with with your tasks listed down the left side of the page. If a task has multiple items associated with it, MindGenius treats the higher level task as a Summary Level task and each item under that a child task. Tasks and subtasks can be linked using the Linking tool that is provided. As far as I can tell MindGenius 3.5 only supports Finish to Start Dependencies and does not allow for lag time. The Gantt Chart is MindGenius 3.5 clearly shows what percentage of the task is complete and can be manually changed by the user as they update the progress of the project. I would have like to be able to change the color of the bars in my Gantt view but I did not see this as an option. Assigning resources to a task is rather easy in MindGenius 3.5 you simply select the person from the Resources pane. One of the strengths MindGenius 3.5 is the ability to quickly generate a Resource map by Tasks with a click of the mouse. This helps to quickly visualize who has which task assigned to them and the responsibility for the completion of the task.

Probably one of the most powerful features that is found in MindGenius 3.5 is the ability to filter the information in the Gantt Chart. There are some Quick Filters that let you quickly see the status of your project when you select one of the filters. If you find that the Quick Filter does not meet your needs you can open up the Filter panel and begin to customize it for your needs. There is also a Filter Builder for building more sophisticated filters if you need it.

All in all, if you have MindGeniu3 you should download the free upgrade to MindGenius 3.5 and begin to explore the Gantt View. For small projects MindGenius 3.5 could be just what you need to keep tabs on your projects. If you need to, you can quickly generate reports from within Excel or export you projects to Microsoft Project. Having access to the Gantt View is certainly a welcome addition to MindGenius 3.5 and one that users will find considerable value in using.

Microsoft Adds a Timeline View to MS Project 2010

A couple of months ago I wrote a blog post about Gantt Charts and Timelines You Decide which raised the issue with regards to which views project managers and their stakeholders prefer. While I didn't get a large number of readers to complete the survey-most readers seemed to lean towards using the Timeline View to communicate the status of the project. It would seem that if you are not a professional project manager that reading Gantt Charts could pose a problem. There is a great deal of clarity that can be derived from looking at a Timeline and the information is much more digestible. In the original post I talked about how MindView 3 Business Edition from Matchware enables you to communicate the information in either a Gantt Chart, a Timeline or a Combination Timeline/Gantt Chart View. So depending on your audience you can decide how to share the information visually, that is best suited for your stakeholders.

In light of my July post it was interesting for me to come across the blog post from the Microsoft Project Team Blog that announced that they had added a Timeline View to MS Project 2010. From the post it looks as if there will be lots of ways to customize and format the Timeline. The post also noted that you will be able to copy and past the Timeline information into the other Office Products. It is my understanding that the Timeline will come in as Office Art shapes that will then allow you to format it to your hearts content. So I would like to believe that my post swayed the large Seattle company called Microsoft to add the Timeline view- but who am I kidding! In any case it is great to see that tools like MS Project 2010 will give users a flexible tool for communicating project information and status.

Subscribing to the AssistiveTek's Podcasts

For the past five years I have had my blog posts automatically converted to text to speech using the Odiogo service. Odiogo takes my RSS feed and automatically converts any new posts on my blog to high quality text to speech. You probably have see the Listen Now button before each blog post that allows you to access the Odiogo controls to have the post read. If you have not tried it out I urge you to do so- having the Odiogo feature on my blog allows anyone to access the information that I am sharing in a different output. Additionally, if you would like you can download a blog post to a MP 3 file or save a post to your iTunes Library. SmartDraw 2010 & Project Management

I have been a SmartDraw user for some time now and was delighted to learn that SmartDraw 2010 was soon going to be released with some new mind mapping and project management features that I was interested in exploring. As I shared with you in a previous post I was introduced to some of the new features of SmartDraw 2010 by the CEO Paul Stannard who is extremely passionate about the product. One of the markets that SmatDraw realizes there is a strong need for their product is in the area of project management. So with this release they have added more functionality and have made the product easier to use and have cut down on the steps it takes to go from mind mapping a project to creating a Gantt Chart or a timeline.

In SmartDraw 2010 you will still find it easy to create a basic mind map using the the SmartPanel. If you want to create your mind map even faster in SmartDraw 2010 you can quickly create a mind map using the Control and Arrow keys to create your ideas on the screen. I found this quite intuitive and within minutes was able to complete a mind map. If you like there are several mind mapping templates that ships with SmartDraw 2010 can be a great starting point for your session. I personally would have liked to see more templates and be able to have the option to change the direction of the mind map so that I could have top to down or left to right. You will find in SmartDraw 2010 that you can easily apply styles, so that your finished mind map has a a very professional and polished look. You will also find that SmartDraw 2010 spaces everything just so that branches on your mind map are equidistant from one another which is a nice touch. There are lots of ways to share you maps in SmartDraw 2010- you can export it 12 different file formats- everything from PDF to HTML or send it to Microsoft PowerPoint. The list is extensive! SmartDraw 2010 has also added the ability for users to add Comments on the mind map so that when they are shared they can be reviewed somewhat similar to the feature found in Microsoft Word. This is a wonderful feature especially in corporations that are using SharePoint. SmartDraw 2010 integrates seamlessly with SharePoint and lets you browse your server and open SmartDraw files.

Going from your mind map in SmartDraw 2010 to a Gantt Chart or Timeline is very easy. Simply select the View As button and select Gantt Chart or Timeline. Within seconds your Gantt Chart is displayed on your screen. SmartDraw 2010 has been updated and will allow you to manage much larger projects than in the previous version. I believe that in SmartDraw 2009 the limit was 100 tasks. You will also find that moving around SmartDraw 2010 even with larger data sets is easy to do and the program doesn't even skip a beat. SmartDraw 2010 now shows a Summary bar when you have subtasks under a topic- which works really well. HOwever, I would have like to see the Summary bar automatically reflect the percentage of the work done based on the completion entries in the subtasks. For now you will have to enter a the percentage completion value into the Summary task manually. You now more control of the information that is shown on the Columns in your Gantt view and it is easy to add Start Dates, End Dates, Cost, Duration, % Complete, Department, Number, & Resource to your Gantt chart. Whiel SmartDraw 2009 supported Finish to Start dependencies, it is a lot easier to set them up in the SmartDraw 2010. Unfortunately SmartDraw 2010 does not support Start to Start, Finish to Finish or Finish to Start dependencies. When you have completed your Gantt Chart in SmartDraw 2010 you can also export it to Microsoft Project. Likewise, you can also import data from Microsoft Project and bring it into SmartDraw 2010.

It is now just as easy to create a timeline from your mind map which is just a click away. Simply select the Timeline option from your mind map and within seconds you have a professionally delivered timeline of your project which for some will be able to comprehend more easily than if it were presented as a Gantt chart. You will find SmartDraw 2010 a flexible and easy to use application to handle small to medium projects. It is an ideal tool for communicate your project and getting all of your stakeholders on board. You will find it easy to print our comprehensive Gantt charts and timeline which can go a long way to keep your projects on time and within budget. Using the Calculation Feature in MindView 3

For the past several months I have been using MindView 3 Business Edition for some of the projects that I have been working on and have had a chance to delve into the Calculation feature. While the Calculation feature is powerful it may not be initially intuitive to figure out, for the first time user. Once you get the hang of it and understand how it works you will see just how powerful it is and how it can help you budget and estimate the cost of your projects. Not only can you enter values into your branches but you can create formulas with those defined values that automatically calculate for you that can be rolled up to help you look at the big picture. Since a picture is worth at least a thousand words, I thought it would be easier to show you how to use the Calculation feature in MindView 3 by creating this short screen cast. Gantt Charts vs Timelines-You Decide


In the early 1900's Henry Gantt introduced us to what is commonly referred to as the Gantt Chart, a way of visually communicating tasks and the timeline for each. In his 1919 book "Organizing for Work" [6] Gantt gives two principles for his charts:
  • one, measure activities by the amount of time needed to complete them;
  • two, the space on the chart can be used the represent the amount of the activity that should have been done in that time.
A lot has changed since 1919, and with the advent of computer technology we have seen a number of business project management software applications that take Gantt Charts to a whole new dimension. With the power of the personal computer we can now show not only task completion but the inter-dependencies of the tasks as they relate to the project completion. As more and more information gets added to the Gantt Chart and the visual complexity increases it certainly adds a real cognitive load for many, to make sense of the data. Recently, Wallace Tait and I had a conversation about Gantt Charts and their utility-which lead us to talk about the advantages and disadvantages of the visual display when presenting information in a Gantt Chart. One of the real advantages of using Gantt Charts is the fact that it can pack a lot of rich information into a small area. But this can be its downfall as well-and it does take a certain knack to be able to decipher the information and the dependencies that are often displayed in a Gantt Chart.

While Gantt Charts have a rich tradition some people may have difficulty understanding the complexities that are displayed on the screen and choose not to use them to communicate project information. In this regard, some users may want to opt to use a Timeline to convey project information which is a more sequential way at looking at a tasks over time. While you certainly lose out on the richness of the Gantt Chart you are quickly able to see the flow of the project and when things need to be done. One mind mapping application that bridges the gap between Gantt Charts and Timelines is MindView 3 BE. In MindView 3 BE, you have the choice of looking at your project in various modes: as a mind map, a Gantt Chart, or as a Timeline. MindView 3 BE even lets you display your project using a cross between a Timeline with Duration bars. MindGenius 2.5: An Overview

I had the opportunity several weeks ago to speak with Dustin Newport, Director of Business & Marketing for MindGenius about their flagship product MindGenius 2.5. I always find it interesting to learn just how these applications come about and their genesis. Dustin shared with me that MindGenius came about as the result of the work of the parent company Gael Quality Group, which is a large consulting company in the compliance and quality management field. In March 2008, MindGenius Ltd, spun out of the parent company into new quarters with a new vision of where they could take this exciting mindmapping application. For the past month I have been using MindGenius and find it to be a powerful, nimble, and straightforward mindmapping application that runs on Windows platform.

When you first start off using MindGenius you can select from a number of redesigned templates to start your mind map session. One of the features which is unique to MindGenius is the ability to use the Question Assistance when developing your mind map. With the Question Assistance turned on you will see a array of topics with questions to help jump start your creative thinking process. There are a number of different topics and associated questions for each of the topics in MindGenius. Once your select your template you are ready to start your brainstroming or planning session using MindGenius. MindGeniis sticks to the core of mind mapping application letting you quickly get your ideas out on the computer screen. As a user you simply start typing and a new entry box pops up to enter your idea. If you like you can format the entry within the dialog box and press enter to add an idea to your mind map. I found the means to enter and idea fast and fluid. To add a series of subtopics all you need to do is select the topic and start typing. MindGenius comes with a library of map markers that you can add to your mind map that can act as a means to create a new map based on the category of the marker. I found this to be a fast and efficient way to look at tasks in my mind map that are assigned to a particular category. Likewise, you can assign a resource to each topic or subtopic in MindGenius and then with a click of the mouse create a new map with all of the tasks sorted by Resource. When working on larger projects this is an invaluable tool to get the big perspective on who is responsible for each of the tasks in the project. MindGenuis does not have the capabilities at this time to visually display what percent of the task is complete. Another unique feature of MindGenius is the Map Explorer which is displayed on the left hand side in a pane that lets you quickly move about your map within an outline mode. As soon as you select a topic in the Map Explorer the topic comes into focus with all the associated subtopics. Having a Map Explorer makes it very easy to move through large maps and can be used to move through your maps when you want to use it for presentations. By simply using the down arrow keys you can move through your MindGenius map via the Map Explorer so that the focus is always on the specific topic or branch. Pairing up MindGenius with a data projector to present the information is a great way to communicate and share your ideas.

MindGenius is fairly typical of mind mapping applications and allows you to link to web sites, files, PDF's. I personally would prefer to be able to embed certain files in my mind maps or at least give me the option to choose between embedding or linking. MindGenius allows you to set boundaries as well as adding floating and call out text. You can also display relationships between ideas on your mind maps buy using the insert Relationship option. Likewise, it is easy to add a note to a topic or subtopic by typing into the Notes pane. If you choose you can also add a watermark to the background when printing your maps. When it is time to distribute your MindGenius maps you can use the free viewer or distribute it as an executable(.exe) file. You can also decide to export your map as HTML and upload it to your server so that others can view it on te web. Or better ye,t export it to the ubiquitous PDF format so that you can email it to your colleagues who can open it with the free Adobe Acrobat Reader.

MindGenius offers seamless integration of your mind maps into the Microsoft Office Suite of products. If you are interested in using MindGenius as part of your project management solution you will find outputting your mind map to Microsoft Project a snap. I found it very easy to move my MindGenius map right into Microsoft Project with all of the data completely intact. Once you start the export process to Microsoft Project you have an array of options as to what you would like to move over to Microsoft Project. You can click on this link to view an overview of MindGenius. You also have the option to export your maps to Word, PowerPoint, Outlook, and Visio.

MindGenius is an easy to use mind mapping application that you should be up and running in no time. MindGenius is a straightforward mind mapping application with some unique features that should make it a valuable tool in your arsenal for brainstorming, project planning, and business consulting. The Map Explorer feature along with the Questioning Assistance Pane add some unique functionality to this well thougth out application. My favorite feature which should be ideal for anyone using this tool for project planning is the ability to create a new map based on the resources or categories attached to a topic or subtopic. Overall you will find MindGenius an easy to use mind mapping application with a small footprint. I would hope that MindGenius will continue to build on their fine product and modernize the interface and refresh the graphics and the overall look of the program.

Catch the Google Wave

I had some time today and watched the introduction of Google Wave at the Google IO Developer Conference that was on YouTube. It was an eye opening presentation of what is around the corner. If Web 2.0 has taught us anything- it is all about collaboration and with the introduction of Google Wave we are sure to be thrust into a new paradigm of collaborative computing. No more passing emails back and forth to engage in communication- but more of a real time dialog. The demonstration really makes you think how this is going to shift how we communicate and work with each other. Since Google will be providing this as Open Source we should see some real innovations in extension and gadgets that can be built on top of the application. One can only imagine what will be possible with Google Wave when your team has access to this type of innovative collaborative work space. Check out the presentation below and enjoy. Using the Task Management Features in MindManager 8

For small to medium businesses who are using MindManager 8 for project planning and keeping tabs on projects, one feature which you will want to explore is the Task Management features built into MindManager 8. As a consultant and small business owner I often am doing small projects that may not require a dedicated project management tool- but I still will need a way to keep on top of my projects and tasks. For this reason, one of new features which I am using more and more in MindManager 8 is the ability to use the Roll Up feature when using the Task Information pane. If you are like me and using MindManager 8 to help you plan and keep on task, then you will find the the new Roll Up feature to be indispensable. All of the task information features can be found in the Task Info pane within MindManager 8.

To get started use MindManager 8 to brainstorm the tasks for the project. Once you have organized the tasks and sequenced them in the order that you will perform the task, select the Central topic and Open the Task Info Pane. In my example, I selected the central topic, Revise Assistive Technology DVD and from the Task Info Pane selected "Roll up task info to here." You also want to make sure that you have checked off Show past-due as: and Show as-risk as:- which I will explain later.

Next go through your tasks and set the number of days each task will take in your mind map. For the first task, you can use the Calendar to set the Start date for the project. It is best to leave the end date blank and let MindManager 8 calculate the end dates based on your task dependencies. By default MindManager 8 will set each task to 1 day duration which is easily changed in the Task Info Pane. For the final step you will use the Relationship feature to link your tasks in the order that you would like to complete them. By default MindManager 8 will set the dependency to Finishto Start and you will see a little FS icon on the relationship line to denote this. If you would like to fine tune the dependency relationship this too can be done in the Task Info Pane. Once you have set the dependencies for your tasks you will see that under your Central topic the Start date and calculated finish date with the cumulative number of work days to complete the task under the topic.

Once you start using your mind map to track your project's progress you will begin to see the real value of the Roll Up feature in MindManager 8. As you input the task completion percentages into your mind map, MindManager 8 will roll up the information to the central topic allowing you to get a quick overview of your overall progress and visually see which tasks are past due or at risk of not completing on time. MindManager 8 will display icons on those task which may be past due or at risk of not be completed which can give you a quick overview of where you need to concentrate your efforts. Project Planning in MindView 3

In a previous post, I had asked my readers to share their thoughts and ideas about project planning and management and mind mapping software. I had created a short 10 question poll about the issues and features that you are looking for in your mind mapping software and just how important and integral is project management to the tool. Not surprising a large percentage of the respondents felt that using mind mapping software for project planning was a very important reason for using the tool.

Earlier this week I posted a review of MindView 3 from Matchware, Inc. which focused on the mind mapping environment and thought that you would be interested in some of the unique project management features that are built into MindView 3 BE. With this in mind, I had a chance to take a look at MindView 3 Business Edition (BE) to see how it handles project planning. MindView 3 BE has project planning tools integrated into the mind mapping application and it is easy to go from mind mapping to the Gantt View with a single click. Once you are in the Gantt View you have a full range of tools at your disposal which you would come to expect from a project planning application. Once you go from the mind mapping view to the Gantt View MindView 3 now will treat your Main Topics as Summary Tasks and all your subtopics as your working tasks. In the Gantt View it is easy to set the Start Dates and the Duration for the task and watch the End Date automatically recalculate. MindView 3 BE lets you select the dates from the standard calendar picker which makes it easy to enter the data. You can link your Tasks as well as your Summary Tasks with the Linking tool that is provided in the Toolbar and watch as your Gantt chart is recalculated when changes are made. MindView 3 BE supports a number of common dependencies such as Start to Start, Start to Finish, Finish to Start, and Finish to Finish. To make changes to the type of dependency, simply double click on the link between the tasks and select the dependency type from the drop down menu. Entering task completion is easily accomplished by placing your cursor in the task bar and dragging the completion bar to the right. You could just as easily extend how long a task will take by clicking on the outer edge of the task and dragging to the right. MindView 3 is very responsive and changes are automatically updated. MindView 3 has several overall styles that you can apply to your Gantt chart as well as allowing you to fully customize individual tasks with your own color schemes if you so desire.

Setting up your resources for the project can be accomplished in several different ways. For small projects it is easy to just type in the name of your resource. For larger projects you can import your resources from you Address Book or from your Active Directory. There is also the option of importing your Resources from OpenMind, MindView, Microsoft Project and from MindManager. Once you have entered your Resources into your project you can allocate the Resource by selecting the resource from the Assign Resources dialog box. I would have liked to been able to select the Resource right within Resource area without the need to bring up another dialog box to do so.

Setting up the Project Calendar for the Project is quick and intuitive and allows you to define the standard work day as well as set days off for the project. Setting up non-default days was accomplished very quickly. It is important to understand the each Project Calendar is set up for each project that you are working on. It is not possible for MindView 3 to be able to share Resources among multiple projects you are tracking and so Resource leveling is not an option in this application. To view the Critical Path you simply click on the Critical Path button which is prominently located on the toolbar.

Setting up project costs within MindView 3 BE is accomplished by using the Calculation Panel. As you see in this Gantt Chart, I have set up three different branch values for each task; Labor Costs, Materials, and Total Costs. Once these values have been set up I can then click on any task and enter a dollar value. Using the formula tools within MindView 3 BE, I can also sum up the Total Costs which are based on adding the values of Labor Costs and Materials for each task. Creating the formula to do this was straight forward and intuitive. MindView 3 BE has a very powerful SUM tool that can be utilized to roll up all of the values in your project and provide you with and overall cost for your project. To get a sense of the power of the Calculations-simply use the Export to Excel Advanced feature to generate a fully formatted project cost analysis spreadsheet with all of the data in one place. You can also use the Project Reports tool that is found within the Gantt View to give you a number of key reports that you can generate on the fly. The Project Reports generates html files and opens your reports within the browser. You will find the reporting to be be very quick and easy to use.

When it comes time for sharing your Gantt chart you can easily print it out using the various formatting features found in MindView 3 BE or export your project to Microsoft Project if you like. You can easily export your Gantt view to a Picture file in a number of formats. I would have liked to see the ability to export to PDF within MindView 3 BE,, which is I believe the standard for file exchange.

For those situations when a Timeline will do to communicate the project, MindView 3 BE provides you with an alternative to the Gantt Chart. The Timeline environment is just a click away and is packed with features to help communicate your project tasks and goals. There are several ways to format your Timeline within MindView 3 to take advantage of both timelines and Gantt charts. This is a really handy tool to have access and gives you multiple ways to represent your project tasks. You will notice in the screenshot that you can also show the costs associated with each task.

Summary
MindView 3 BE gives you some easy yet powerful tools which lets you go from mind mapping to project planning with the click of the mouse. MindView 3 BE provides an intuitive and easy to use interface within the Gantt View to get your project planning done and on time. While the calculation feature provides some powerful reporting features it doesn't go far enough to help link the duration of the task with costs. I would have liked to been able to have my costs for the project keyed into the duration of the task and the cost as related to the resource being accessed so that MindView 3 could automatically calculate the current cost for the project. I believe that this is an area for improvement but it does not mar the effectiveness of the tool or the ability to work with calculations and the Excel Export to generate your project costing reports. All told, MindView 3 is a formidable mind mapping tool with strong timeline and project planning features.

MindView 3 from Matchware-Part 1

I had a chance this past week to take a look at MindView 3 Business Edition, which is the latest offering from Matchware, Inc. MindView 3 is a full featured mind mapping application that is a significant upgrade from what used to be known as OpenMind 2. MindView 3, takes full advantage of Microsoft's Fluid Ribbon Interface and makes navigating, formatting, and working with your mind maps easy to jump into. MindView 3 is unique in that it offers the user a full featured mind mapping application as well as including project planning (GANTT charts) and Timeline views that are integrated into the application. I will speak more about these features in part 2 of my review.

When MindView 3 opens you can quickly start creating a new mind map, Outline, Timeline or Gantt chart from the template provided. There is also a complete library of mind map templates that are more specialized that you could start your map from. Once you select your mind map you are ready to get started to map your ideas. From within MindView 3 you can designate the style of the map that you would like to create and you have the option of creating a tradional map with your ideas radiating from the center and going out as well as selecting top-down and left/right maps. To get started you simply type you main idea and press the Enter key to have you ideas radiate from your central point at the same level. To create a sub-branch you can click on the Sub-branch icon on the ribbon or simply Press the Insert key on your keyboard. Generating your ideas moves quickly using the keyboard and within minutes you should be able to flesh out your mind map. Moving ideas on your mind map is easy and intuitive as the program gives you visual feedback along the way. With MindView 3 you can quickly add icons to your branches and sub-branches by selecting the branch and accessing the Icons from the Insert ribbon. This is a fair number of icons that when inserted will appear to the left of your idea in the branch or sub-branch. The icons cover prioritization, arrows, task completion, stars, and library of commonly used icons. You can also access a large library of clip art which can be searched from within MindView 3. Once you find the picture you are looking for you can drag it to the branch. Unless you are using a Floating Picture as it is referred to in MindView 3 the graphic will sit above the branch. While you can select the graphic and make it larger or smaller you can not place it as an inline graphic within the branch. You do have the option of bringing in any graphic of your choice as a Floating Picture which allows you to move the graphic anywhere on your map. Attaching multiple files and hyperlinks to your branches is straight forward and easily accomplisehd using the Ribbon interface. MindView 3 makes it easy to add text notes to your map and opens a large text window at the bottom of the screen to accomplish this. Using the text editor you have the freedom to format to your heart's content, as well as giving you the opportunity of inserting pictures, tables, and hyperlinks.

Formatting your mind map is very intuitive and easy within MindView 3 using the Design ribbon. Using the Design Ribbon you can quickly select from Layouts, Styles and Effects which can quickly let you format your map just the way you want to. To format the branches and sub-branches you will need to access the Properties menu from the View Ribbon to bring up the options. You can also add boundaries around your sub-branches and format them with a range of colors, gradients and fills to highlight certain areas of your map. When using MindView 3 for presentations you will find the Focus Mode and the Apply Branch Focus to be two very helpful features. If you have designed very large maps these two features help to bring your ideas into focus on the screen. The Focus Mode zooms in on your map and what you have selected and brings into focus the branch or sub-branch. Using the Apply Branch Focus will hide all of the other branches except the one you are focused on allowing you to zero in on your topic. Navigating through the two features is fast and intuitive. MindView 3 also has powerful filtering features which lets you set up rules for showing certain branches that meet the criteria. You can use Boolean logic to only show those items in your map that meet the criteria. If you have a designed a large map this feature will come in handy.

When it comes time share and distribute your map MindView 3 gives you lots of options to output your map. You can export your maps very quickly to the Microsoft Office Suite of tools including: Word, Excel, PowerPoint, Outlook, and Project. I found the exporting to be very fast and clean with lots of options for tailoring the output. Each export gives you the option of doing a Quick or Advanced export depending on your need. MindView 3 supplies you with lots of Export templates to choose from to make your documents, presentations and projects come to life.

There is a lot to like about MindView 3- in no time you will be developing your mind maps complete with pictures, icons, and links. I found MindView 3, with the Fluid Ribbon Interface very easy to use and quick and responsive. With robust exporting to the Microsoft Office Suite, MindView 3 makes sharing and distributing your maps a cinch. In my next post, I will highlight the GANTT and Timeline feature that is built right into MindView 3 which really makes this a unique software application. Mindview 3 is a formidable mind mapping software application with a sweet spot for those who want built-in project planning tools. Mind2Chart 1.5 for MindManager is released

We are glad to announce the release of an updated version of our project management add-in for MindManager, with new great features:




  • "always ON" mode: You no longer need to open the Gantt pane to have your plan updated while you edit. Mind2Chart recalculates its topics continuously to make sure that you always have correct information.

  • Task auto-rollup support: Mind2chart supports disabling editing of task information for group tasks - a new feature in MindManager 8. This allows visualizing group tasks on the map to show that this information is auto-calculated with Mind2Chart.
  • Save gantt as image: This feature gives you more flexibility on visualizing your plans - now you can save Gantt chart as an image and then print it with any scale you like, or put it on a webpage.

Although Mind2Chart is well-known for it's high performance, now it works up to 40% faster on bigger maps with complex dependencies.

Along with some fixes we have added improvements according to requests from our customers. In particular, now Mind2Chart saves the positioning and selection of columns in a Gantt view allowing you to customize Gantt according to your preferences.

Project Management & Mind Mapping


For the past couple of years I have been following the mind mapping space and have watched it to evolve from a brainstorming tool to one that is becoming more closely aligned in the area of project planning and management. Over the years most of the mind mapping applications have either included project planning as an integral part of the application or have relied on third party developers to develop add-ins to the mind mapping software to bring project management features and functionality. Additionally, there are a number of software developers like AEC FastTrack 9 and Experience in Software-Project KickStart 5 who have made it very easy to move tasks and resources from mind mapping software to their standalone applications. I was interested in learning how you are using your mind mapping software for project planning and management and have put together this short poll. My colleague Wallace Tait and I are in the process of lining up some potential interviews for our podcasts and thought that your feedback would be helpful.

MindMeister 3 Rolls Out

I just received an email that MindMeister 3 has been released with a a large number of new features and tweaks to the user interface. Here is a list of the new features and changes in MindMeister 3:

  • Task Management

    Many more features for easier task management in MindMeister, including start date and duration, email notifications, iCalendar feeds, WunderTasks and a task overview from all maps.

  • Search and filter, better tags

    The new map search - you'll find it in your map list view - makes managing many maps a lot easier. You can search for titles and contents, and even use Find in maps (CTRL-F). Also, managing tags was enhanced with a new overflow dropdown.

  • Resize ideas and wrap

    Overlong idea labels always created problems. In the new release you can now resize them via drag and drop, and your maps will also keep the wrappings when exported e.g. to PDF or as image.

  • History View

    We completely revamped the version history to make viewing and replaying the collaborative changes of a mind map a useful and fun experience. Clicking on the coloured bullets starts "replay" mode. See also our tutorial video.

  • WikiMaps

    You can now turn any public map into a WikiMap. This will make it editable for everybody (well, everybody who has a MindMeister account, to avoid spamming). Quite useful to gather input from many people at once!

  • Import text files

    In addition to Freemind and MindManagerTM formats, you can now also import plain text files into MindMeister.

  • Emailing attachments

    Geisesblitz Email now supports attachments which will be inserted as attachments to your ideas into MindMeister.

  • Many more key shortcuts

    Our users say they love them, so we've added quite a few more for common operations. See a complete list.

  • Other enhancements

    New user interface, revamped "My Account" section, Offline mode for Safari, recommendations in map view, new export dialog and options, better printing (via PDF), clone public maps, larger note previews and much more.

Mindjet Acquires JCVGantt- Project Management Software

Mindjet announced today in a Press Release that the company has acquired JCVGantt a project management software application from Gannt Solutions. The marriage of MindManager and JCVGantt provides a strong solution for project management and is an invaluable communication tool. You can now derive the benefits of using MindManager for brainstorming and working out the goals and deliverables of the project and use JCVGantt to develop the timeline, look at resources and figure out the costs. I have reviewed JCVGannt earlier this year and understand the the latest version provides faster synchronization of data from MindManager and more control as to what is included in your Gantt Chart. The true beauty of JCVGantt is how it synchronizes the data from MindManager so that any changes that you make in MindManager are automatically updated in JCVGantt and vice versa. I hope to review the latest release of JCVGantt in the next couple of weeks so stay tuned.

Mind2Chart- Project Planning Made Easy!

I had shared with you a couple of weeks ago about a new MindManger Pro 7 add-in called Mind2Chart that adds project planning to your visual maps. I had a chance to use Mind2Chart and find it to be a valuable add-in for those of you that want to take your visual maps to the next level and add project management. Mind2Chart uses the underlying MindManager 7 database to drive the application. In a sense they are one in kind- any changes to MindManager Pro 7 are reflected in Mind2Chart and vice e versa. The changes are immediate and Mind2Chart feels very snappy and fast when working with it. I for one know how wonderful a tool MindManager Pro 7 is when brainstorming and setting up the "what" of projects whereas a Mind2Chart is very adept of doing the "when" portion and providing the group with a Gantt Chart to visually see when deliverables are due and how far along tasks are.

Installing and setting up Mind2Chart was a breeze and once installed you will now notice a new icon on your Home tab called Chart Item. This lets you add items on your MindManager Pro 7 map to Mind2Chart. By doing a select all and then selecting the Chart Item bottom you can add all of your items to your Mind2Chart. To view Mind2Chart you simply click on the Mind2Chart button which is on the View Menu. This splits your MindManager 7 screen and displays your Tasks and Gantt Chart on the bottom of the screen. Any changes that you make in Mind2Chart are automatically updated on your MindManager 7 visual map. Using the Mind2Chart tools you can link tasks and control the dependencies for tasks. You will notice that Mind2Chart keeps the first task item as a Summary item that varies depending on the amount of time that the sub- tasks below take. You have the full complement of dependencies that you can use including: Start to Start, Start to Finish, Finish to Start, and Finish to Finish. To set the dependencies you simply click on two or more tasks and then select from the drop down menu the type of dependency and immediately you will see this relationship show up in the Gantt Chart. You will also notice that your MindManager visual map has a new relationship line with the type of dependency noted on the relationship line. Setting the Start Date is as easy as clicking in the field and selecting the date from the Calendar picker. Now all you need to do is decide how much time the task will take and you are ready to view your Gantt Chart. Using the Resource button on the Mind2Chart application you can easily add the name of resources who will be working on the task. If you prefer you can also add resources within MindManager Pro 7 using the Task Information pane. Once you are done adding Resources and Tasks you can create a Task and Resource Spreadsheet with Excel with a click of the mouse. It is also possible to use the Print Preview command to generate a preview of your Gantt Chart and Tasks.



Overall, I found Mind2Chart to be a very easy and powerful MindManager Pro 7 add-in for project planning. This is an ideal tool for those of you who are not full time project managers but who are using MindManager Pro 7 to orchestrate projects. Its split screen interface makes it very easy to work with when going back and forth within MindManager Pro 7. I have found the Mind2Chart Company to be very responsive to my feedback and they have already added features to Mind2Chart since its initial release. It would be nice if Mind2Chart allowed you to be able to color code your tasks in the Gantt Chart or for that matter to inherit the color from within your MindManager Pro 7 visual map. More importantly, I for one would vote for Mind2Chart to be able to generate the overall cost of the project based on your resource type, cost information and time. With the exception of these issues, Mind2Chart is a powerful project planning tool that continues to impress me. You should be aware that the folks at Mind2Chart are working on some of my recommendations and I hope to be able to report to you soon that the aforementioned recommendations have been implemented within a new release of Mind2Chart. Likewise, once you have used MindManager Pro 7 and Mind2Chart to plan your project you can then export it to Microsoft Project to take advantage of its advanced reporting and charting features. Mind2Chart Pricing

Several readers had asked me about the pricing for Mind2Chart and Dennis from Mind2Chart was kind enough to email me the information for this MindManager Pro 7 add-in.
